In the event that an in-person translator is unable to attend a Faculty/Staff Professional Development Day or Department Meeting, a Zoom meeting can be created to allow them to observe remotely. If the Host anticipates that the meeting will last longer than 45 minutes, please notify IT as soon as possible so that a Zoom license can be provided to extend the session time.
List of equipment:
2 iPads (or 1 iPad + 1 Computer)
iPad tri-pod
Zoom Host:
1. Schedule a New Meeting and send out Invitation to all Attendees.
2. Name your meeting and unselect recurring meeting. Do not change the password--just leave it alone. Turn on the waiting room and turn off Only authenticated users can join. Save the meeting.
3. Select the meeting and then choose Show Meeting Invitation.
4. Copy the link for Join Zoom Meeting. This is the link that people will use to enter your meeting. They do not need to know the password as long as you use this link.
Assign an Alternative Host (Before the Meeting Starts):
1. If you want someone to start or manage the meeting before you join, use Alternative Host, not Co-Host.
2. Go to zoom.us/signin → Meetings → click your scheduled meeting.
3. Click Edit.
4. Scroll down and find Alternative Hosts.
5. Enter the email address of the person (they must be on the same Zoom account or licensed under your org).
6. Save changes.
They’ll receive an email link allowing them to start or manage the meeting as the host.
Note: “Alternative Host” ≠ “Co-Host” — it just lets them start the meeting or take over if you’re absent.
If you don’t see “Make Co-Host” during a meeting:
1. Sign in at zoom.us.
2. Go to Settings → In Meeting (Basic).
3. Scroll to Co-Host.
4. Toggle it on.
Now, you’ll have the option to assign co-hosts in all future meetings.
